Receptionist/Client Advocate
Part-time M-Th 9 am-3 pm

Client Advocate Position Description

Objective of the position

To reach clients in an unplanned pregnancy with mercy and compassion by offering practical assistance in both word and action.

Reports to:

Executive Director or Clinic Director at the Clarity Clinic.

Qualifications

  1. Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord.
  2. Exhibit strong commitment and dedication to the pro-life position and sexual purity.
  3. Agree with and be willing to uphold the Mission and Vision Statement, Statement of Faith and policies and procedures of the Clarity Clinic.
  4. Be able to respect and keep information confidential.
  5. Be dependable, stable, and capable of following through on commitments.
  6. Exhibit a sincere desire to reach out with the love of Jesus to people in distress.
  7. Understand basic interpersonal dynamics.
  8. Be able to identify and adjust to a client's pace of progress and growth.
  9. Be familiar with scripture pertaining to the sanctity of life, forgiveness and salvation.
  10. Complete the Clarity Clinic’s Advocate training.
  11. Complete on-the-job training.

Essential Functions

  1. Provide crisis intervention support for each client in an atmosphere of warmth and compassion through listening and other helping skills.
  2. Provide accurate information on abortion.
  3. Provide information on parenting, adoption and foster care.
  4. Follow all policies and procedures regarding intake, helpline and in-office duties.
  5. Offer support, material resources and referrals appropriate to a client's situation.
  6. Look for teachable moments with a client in order to share the love of Jesus and His plan of salvation.
  7. Appropriately follow-up clients according to the policies and guidelines of the Clarity Clinic.
  8. Keep up-to-date on statistics and information relating to pregnancy, abortion, and adoption through volunteer staff meetings, magazines, journals, and newspaper articles.
  9. Keep current on information in the Clarity Clinic’s referral system.
  10. Maintain all client records as indicated in the Clarity Clinic’s policies and guidelines.
  11. Attend staff meetings.

Receptionist Position Description

The role of the receptionist for the Clarity Clinic will be directed by the Executive Director and will be executed according to needs of the clinic in a timely manner.

Role Objective

Greet patients while setting the tone for the help that they will receive – personal, relational, and professional.

Give callers peace of mind as they inquire of the clinic’s services and seek to make a decision regarding this life-changing circumstance.

Reports To

Clarity Clinic Executive Director or Department Manager

Qualifications

  1. A warm, calming personality
  2. Discernment skills in deciding whether a client is abortion-minded, abortion vulnerable, or a potential fake client.

Responsibilities

The receptionist must be willing to take on the following responsibilities:

  1. Be responsible to answer client phone calls and schedule appointments in accordance with the Receptionist Checklist (located next to her phone). No medical information will be given over the phone.
  2. Be properly trained in answering phone calls appropriately and safely.
  3. Enter all appointments into eKYROS.
  4. Ensure that the Patient Advocate and Nurse Manager are aware of the day’s appointments.
  5. Print out weekly appointment schedule at the end of the week from eKYROS.
  6. Be responsible for putting together the monthly newsletter.
  7. Keep waiting room area tidy and ready for clients.
  8. Offer clients a bottle of water after giving them intake forms.
  9. General clerical duties include:
  • Filing Client Files, locking cabinet.
  • Photocopying and re-supplying client forms, and assembling new files.
  • Typing for Executive Director, Development Director, Patient Resource Director, and Nurse Manager.
  • Running weekly and monthly client reports as directed by Executive Director.
  • Researching up to date information for speaking engagements.
  • Schedule volunteers in Calendar and schedule staff for groups or classes.
  • Receptionist will cover in the ultrasound room for Patient Advocate if needed.
 

As the receptionist is the first person the client comes into contact with, it is important that she be amply prepared for her job. This includes not only practical preparation, but also spiritual preparation. It is recommended that the receptionist adopt an attitude of prayer throughout her shift.

Receptionist will complete all phone training/protocol prior to taking client calls.
